Bring the final work, handover information, and outstanding actions into one review. This free Project Closeout Checklist helps owners and project teams organize the records and follow-up needed as a project moves into use.
How to use the checklist
- Confirm the review scope. Agree which items apply to your project, contract, and handover stage. Enter the project, contractor or contract, reviewer, and review date.
- Review the supporting information. Work through the five sections with the people responsible for the work and records. Note the evidence or file reference for each item.
- Choose a status. Use Pending, Complete, Follow up, or N/A. Confirm applicability with the team before selecting N/A.
- Assign remaining actions. Use the follow-up sheet to record the checklist reference, action, responsible person, target date, response, and status.
- Keep the review with the project records. Record the next closeout review or action and who took part. Revisit open items until the actions and supporting records are resolved.
Complete means the action or supporting record has been verified. Follow up means an action remains. A completed review can still contain open items, so keep the action list current.
Download the PDF and save a project copy in a PDF reader that supports fillable forms. Save and reopen your copy to check the entries. Use the Word version to adapt the checklist or expand the notes and follow-up records. You can also print either version.

Keep punch-list corrections separate from broader handover tasks such as manuals, training, warranties, and record files. Use the related worksheets below when more detailed tracking is needed.
