Keep incomplete work and corrections organized as a project approaches completion. This free Punch List Worksheet helps you record each item, assign responsibility, track target dates, and document the follow-up review.
What the worksheet tracks
- A unique item ID, date recorded, room or location, trade, and the correction needed.
- Drawing or photo references so the team can find the right condition.
- The assigned person or company, target date, and next action.
- Separate dates for reported completion and verification.
- Status, verifier, and record-review messages to keep outstanding work visible.
How to use the worksheet
- Prepare for the walkthrough. Enter the project, review date, and walkthrough participants on Punch List. Update the review date each time you review the records.
- Record one correction per row. Assign a unique ID. Describe the exact location and what needs to be corrected. Reference supporting drawings or photos.
- Assign the follow-up. Enter the responsible person or company, a target date, and the next action. Use Open or In progress while the correction is being arranged or performed.
- Record reported completion. When the responsible party reports the correction complete, choose Ready for review and enter the reported complete date.
- Verify the correction. After reviewing the work, record who verified it and the verification date, then choose Verified closed. If more work is needed, return it to In progress and update the next action.
Yellow cells are editable. The summary counts and Record review column calculate automatically. Keep unknown dates blank until confirmed, and use actual Excel dates so filtering and overdue calculations work.
Use the status that matches the work
- Open: a correction has been recorded and still needs action.
- In progress: the correction is being coordinated or performed.
- Ready for review: completion has been reported and verification is still needed.
- Verified closed: the correction has been reviewed and the verifier and date have been recorded.
- Deferred: the item is intentionally held for later review. Record the decision, supporting reference, and next review action.
Understanding the summary
The summary shows items recorded, items awaiting verification, items marked closed, open or in-progress items, deferred items, and overdue active items. Marked closed counts the selected status, so check the Record review messages for any missing verification details.
An active item is overdue when its target date is before the review date and its status is neither Verified closed nor Deferred. Items due on the review date are not overdue. The overdue count stays blank until you enter a review date. Missing target dates are excluded from the count, so resolve assignment and target-date flags during each review.
A worked example is included
The Example and Guide sheet follows five fictional items on a house addition. It includes an open correction, work in progress, an item ready for review, a verified repair, and a documented deferral. The example is separate from your blank working sheet and does not feed its summary counts.
The working sheet has 75 prepared rows, header filters, status dropdowns, and frozen headers. Filter by room, trade, assignee, status, or target date to prepare a focused walkthrough. To add capacity, extend the table, formulas, dropdowns, formatting, and summary ranges together.
Keep the supporting records together
Save supporting photographs, inspection notes, correction records, and written decisions with the project files. Use the worksheet alongside the project’s closeout records so the team can trace what was corrected, who reviewed it, and what still needs attention.
